We’re currently seeking a proactive and detail-oriented Office Administrator to join our Richmond Hill headquarters. ABOUT THE ROLE This is an essential support role for someone who keeps the wheels turning — ensuring everything from client communication to payroll runs smoothly. You'll be the go-to person for day-to-day operations, supporting our designers, project managers, sales, and leadership team. KEY RESPONSIBILITIES Serve as the first point of contact for clients, vendors, and team inquiries Manage incoming emails and calls, route messages, and schedule appointments Support internal departments with documentation, data entry, and coordination Track project updates, purchase orders, invoices, and receipts Prepare and maintain accurate reports, contracts, and internal records Coordinate with HR and accounting for onboarding, payroll, and employee records Maintain office supply inventory, order materials, and manage vendor relationships Support basic marketing admin: review requests, organize photos, and update templates Assist the leadership team with scheduling, travel bookings, and meeting agendas Keep the office organized, professional, and running efficiently QUALIFICATIONS Required: Minimum 2+ years of experience in office administration Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook) Excellent communication skills (spoken and written) Strong attention to detail and time management Ability to multitask and work independently in a fast-paced environment Proactive mindset — you take ownership of tasks and follow through Positive attitude, strong work ethic, and team player mentality Preferred: Experience in a construction, trades, or landscaping environment Familiarity with CRM systems (e.g. Monday.com, Jobber, or similar) Basic understanding of accounting or HR administration COMPENSATION & BENEFITS Salary: $40,000–$65,000/year Bonus Opportunities Extended Health & Dental Coverage Team Events & Company Culture Perks Schedule: Monday to Friday (On-site, 9AM–5PM) JOIN A TEAM THAT’S BUILT TO WIN At AHS, we’re committed to growth — for our clients and our team.
